Member Relations Specialist

The Society of Teachers of Family Medicine (STFM), a 501(c)(6) professional association, is dedicated to advancing family medicine to improve health through a community of teachers and scholars. We provide resources, training, and advocacy to help health professionals at medical schools and residency programs educate future family physicians. We are an equal opportunity employer; diversity is a core value of our organization. 

STFM is seeking a full-time Member Relations Specialist to provide administrative support and coordinate projects and processes.  

Responsibilities

General Office Administrative Support

  • Answer main phone and general office emails and assist members
  • Serve as office receptionist: greet guests, open mail, receive packages and distribute or store as necessary
  • Provide clerical support for staff 
  • Update member records in database 
  • Process memberships

Conference Support

  • Process conference registrations 
  • Answer member questions about conferences
  • Prepare and manage conference shipping manifest, prepare shipping paperwork/labels, coordinate pick-up
  • Staff conference registration desk on-site for the Annual Spring Conference (weekend and overnight travel required)
  • Oversee inventory and ordering of conference supplies
  • Maintain conference production calendar
  • Complete applications for Continuing Medical Education 
  • Create and manage surveys and reports in Survey Monkey
  • Create roundtable and poster number signs
  • Assist Conference Director in creating presentation groupings

Program Administrative Support

  • Assist Project Manager with coordination of STFM fellowships
  • Assemble and mail materials
  • Coordinate workshops
  • Schedule conference calls 

Key Qualifications: 

  • Highly productive with minimal supervision
  • Proficient computer skills, particularly with MS Word, Excel, and PowerPoint
  • Strong organization skills, with the ability to prioritize
  • Excellent communication and customer service skills
  • Ability to travel 1-2 times a year for up to six days at a time
  • Ability to compose professional (letters and emails) that are professional, clear, and grammatically correct
  • Effective team member and ambassador
  • A can-do, positive attitude

35-hour work week; Monday - Friday, 9:00 am - 5:00 pm.
