Program Coordinator

The Society of Teachers of Family Medicine (STFM), a 501(c)(6) professional association, is dedicated to advancing family medicine to improve health through a community of teachers and scholars. STFM is seeking a full-time Program Coordinator to provide administrative support and coordinate projects and processes for several STFM departments. The perfect candidate should be highly proficient with computers and skilled at prioritizing time and projects. 

Responsibilities

Office Support - 20% time

  • Provide main back-up phone support.
  • Serve as STFM IT help desk, providing assistance to staff on office software questions and computer software updates
  • Serve as a resource for member IT functionality questions related to membership and our conference submission/review systems
  • Troubleshoot office printer and copier issues

Program Support - 80% time

  • Coordinate logistics for a fellowship: collect, collate, and edit faculty content, prepare materials binder, compose and send emails to faculty and fellows, and coordinate logistics for meetings
  • Provide administrative support for management/committees: eg, scheduling travel, coordinating logistics for meetings, scheduling conference calls
  • Manage conference mobile app for all conferences including researching platforms, negotiating vendor contracts, maintaining vendor relations, incorporating data, and training staff
  • Provide backup assistance for processing membership applications and renewals
  • Provide assistance with AV equipment setup/take down at conferences (travel required 2-4 times per year)
  • Provide administrative support to government relations director: eg, sending letters and meeting materials, formatting documents, maintaining legislative logs, and other support as needed
  • Provide administrative support to other staff as needed

Key Qualifications: 

  • Ability to be highly productive with minimal supervision
  • Highly proficient computer skills, particularly with MS Word, Windows, Excel, PowerPoint, and Adobe Acrobat; strong database experience preferred
  • Highly organized individual who effectively prioritizes time and activities
  • Must possess excellent communication and customer service skills
  • Ability to travel 2-4 times a year for up to six days at a time
  • Ability to lift up AV equipment up to 25 pounds
  • Ability to adapt to changes in the work environment, manage competing demands, and deal with frequent change, delays, or unexpected events
  • Ability to compose professional correspondence (letters and emails) that are professional, clear, and grammatically correct
  • Effective team member and ambassador for STFM
  • Desire for personal continuous professional development
  • A can-do, positive attitude
  • Nonprofit association experience helpful
